Pastoral care templates are used to ensure the details of the Pastoral care notes are entered in a consistent manner.
Once templates have been added to the Pastoral care type they will be available for select from in drop-down list when entering a Pastoral care note.
Pastoral care type templates do not support line breaks. Merge fields can be used however these only display on email notifications, in addition, email notifications need to be customised.
Creating and Managing Pastoral Care Type Templates
- Go to the Administration Workspace > Data Management > Pastoral Care Types
- Use the search box to find the Pastoral care type, then click on the record to open the Edit window. Alternately, click Add Record to create a new record.
- Enter the Pastoral care templates in the required format (see below)
- Click Save.
- Refresh/reload the page before testing in the SIP.

Using merge fields in templates
Merge fields can be used when creating Pastoral care notes and can be included in templates. Some merge fields which are supported through the Correspondence page are not supported in Pastoral care notes. Merge fields can be used however these only display on email notifications, in addition, email notifications need to be customised.
Due to the specific requirements for merge fields work they are not recommended. Relevant information about the student is included by default in the topic and details of the Notification email.
When a template is selected the merge field displays as {he} this is how it displays in SEQTA and doesn't need to be edited. Rather, the system will insert the correct gender in the notification email generated.
