Many of the reports in SEQTA can be customised on request. In addition to this, custom reports can be created based on the specifications provided by the school.
See below for details on how to request customisations. Please note a form is no longer required to submit a customisation request. A quote will be provided for any report development/customisation request, authorisation is required before work will commence.
Schools may want to explore the option to create a report in-house using the Custom Academic Report Tool (CART) prior to requesting a new Academic report.
Avoiding delays with customisations
To ensure there are no delays with the report development process, please respond to emails regarding report customisations promptly and test reports once customisations have been made. Postponing replies to emails regarding report customisation may delay the report past the expected development time.
Lead time for academic reports
The lead time for the development of new academic reports is six weeks prior to the start of the reporting period. Modifications to existing reports is four weeks prior to the deadline.
Marks book setup and students with test data are required as a prerequisite for any Academic Report development/modification requests.
Process for requesting changes to an existing report
When requesting report changes please submit your request to helpdesk@seqta.com.au and include:
- An annotated mock-up of your changes i.e. notes on the existing output for your test student(s).
- If the changes are extensive, an additional annotated sample of what you want should accompany the annotated sample of the existing report. Refer example SEQTA-Report_AnnotationExample.pdf
- The name of the report from the SEQTA menu.
- Dates: Publish date, Proofing date.
- Name/s of student with data for testing purposes.
- URLs to the Marks books
- Parameters used when generating the report (ie. Timetable period and Report Type).
A member of the team will then liaise with you and provide a quotation.
Process for requesting new reports
When requesting a new report, please submit your request to helpdesk@seqta.com.au and include details of all the data and grouping required for the report. Additionally, for PDF reports (i.e. academic reports, awards certificates etc.) please include a sample of how the report needs to look. Alternately, the Professional Services Design Office Team can create a report design based on the schools' requirements.
- The Marks book setup that supports the report format needs to exist as a precursor to a request for a new report.
- Reporting data must exist for test students and the documentation submitted should include URLs to the Marks books so that we can see how teacher’s will be recording the reporting data.
- All requests must include an annotated mock-up.
- Where possible, all requirements should appear as annotations in the mock-up (PDF format is preferred for any formatted report.) Refer example SEQTA-Report_AnnotationExample.pdf
- Please provide any blocks or sections of static text in text format. This could be in the body of the ticket/email or as an attached document.
- Any images to be included on the report (logo, banners, signatures etc) should be added to the Academic Reports/Report Assets section by the school and these files referenced in the mock-up.
- If the submission includes more than one document, please provide these attached as a single zip file.
Regarding Annotations
- Although you might consider one year-groups reports as distinct from the others, typically Academic Reports in SEQTA are developed in a modular fashion where common elements are only coded once and sections of the report are called based on the student. The idea is something like:
- For the current student:
- Print a cover page
- Print the report name
- (dynamic from Report Type and Timetable Year)
- Show student details
- Show Photo
- Print the report name
- Print the information page
- If the student is in Y11 or Y12 include …..
- If the student has a programme where the Course type is VET ….
- Print a Pastoral Section
- Show School Values data
- Show a comment (if one was entered)
- Show the Rollgroup Coordinator’s signature image
- from Report Assets/Rollgroup
- Show Rollgroup Coordinator’s name
- Show a subject summary
- For each Subject except where Course type is not Music)
- Subject Description and Moderated Grade
- If Coursetype is VET then ……

- For the current student:
- Common elements of reports need only be annotated once. (e.g cover page, header, footer, information pages etc.)
- If subjects are displayed with a common style/layout only the first instance of a subject needs to be annotated.
- If there are variations on the style/layout of subjects based on certain conditions these only need to be provided and annotated once.
A member of the team will then liaise with you and provide a quotation.
