What do I need to do before enabling Unread Notification emails for the first time?
When notification emails are enabled for the first time, there may be many unread notifications generated from the time the software was first started to be used and these will be included in the total number in the first email that is sent. Furthermore, these notifications, along with the date and time they were generated, are visible in SEQTA Learn or SEQTA Engage. These notifications can be cleared prior to enabling notification emails on request by emailing to [email protected] (email authorization from the School Education Contact will be required).
What effect do Notification emails have during SEQTA Engage and SEQTA Learn roll outs?
It is recommended that schools disable notification emails during the SEQTA Learn or SEQTA Engage implementation, to ensure students and parents do not receive notification emails prior to receiving their login details.
What is the difference between Unread Notification emails and Notifications?
Notifications are accessed through the Notification status box within SEQTA by clicking on the Notification icon on the top right-hand side of any page, whereas notification emails are emails that are automatically generated by SEQTA if a user has unread notifications pending.
Which Notifications are included in the Notification email?
Each notification email provides a summary of all Notifications for that user at the time the email is generated. This is expected behaviour for Notification emails. Once a Notification has been included in an email, it will not be included in any subsequent emails (even if it's still unread).
What triggers a Notification email?
A notification email will be triggered if a Notification has remained unread for the number of days set in the 'Application Settings' page (under the setting 'Minimum Age Before Emailing').
How can I change the number of days before a Notification email is generated?
This can be done by editing the number of days set in Application setting 'Notification Emails'. To access this setting go to the Administration Workspace > Application Settings search for 'Notifications' (without the quotes).
Can Notifications be set to send on a specific day of the week?
An email will be generated for each individual, based on the number of days they have not checked their notifications. It is not possible to set Notification emails to go out on a specific day of the week or date, only the number of days for which the Notifications have not been read.
Is the same Notification included in more than one Notification email?
No, all the Notifications included in a Notification email are flagged by the system so they do not trigger a new email. Any notifications received after that, will trigger another notification if they remain unread for the set number of days.
For example, if Notifications are generated regularly (every day), and the Notification emails are set to 7 days, then they will receive a weekly email. This means that if a Notification is sent the day after an 'Unread Notification' email goes out, it will be one week till the next Notification email is generated.
Does the number of days refer to business days or days of the week?
The 7 days are 7 weekdays, not business days.
How does the system determine which Contact (Parent) to send the Notification email to?
The email is sent to Contacts with the SEQTA Engage label under their name in the SIP. This means that if there is no email address in that Contact record then an unread notification email will not be received.
