Two classes appearing for the same period indicates either a timetabling issue or a programme setup issue. This article outlines the process for troubleshooting and resolving this issue and is aimed at staff with advanced knowledge of curriculum in SEQTA.
Please don't hesitate to contact the SEQTA Service desk for assistance resolving this issue. Be sure not to unattach any programmes with Marks book data in them (a warning will display).
Checking for timetabling issue
The steps for checking for timetabling issues are outlined below. The first point of contact for timetable issues is the school's Timetabler.
- Go to the Teaching workspace > My classes
- Click on the Bridge icon
- Note the class and timetable
- Cancel out then click on the Bridge icon for the other class. If the class and timetable are the same as the other class, this indicates there is no timetabling issue.
Programme setup issues
In most cases, the double up will be due to a programme setup issue. For example:
- A class with a programme attached is 'bridged 'to another class with a programme attached (even if the bridge has since been removed)
- A programme is 'shared' or 'copied' to a class that already has a programme attached
When troubleshooting issues, there are a number of factors that need to taken into consideration:
- Do any of the programmes have results in their Marks book?
- Has the class been bridged across the correct timetable periods?
- Is the programme shared with other classes in the cohort?
Resolving programme issues due to incorrect bridging
This process assumes the class has been incorrectly bridged (eg. 2017S2<>2018S1)
- Check the Marks book for each instance of the class to see if there are results in the Marks book. If there are edit, the programme title to make it easy to find, as you will need to share it back to the class in a later step. Example, add your name to the programme name.
- Set the timetable date back to find the old class. This should still have two programmes attached.
- Check the Marks books on each instance of the class, then unattach the programme that has no results entered.
- Correct the class bridge. To do this click the bridge icon on the current class > select (Null) Unspecified for the class in the most recent timetable period > OK > Save.
- If there were results for the current class (see step 1 above) find and share the programme back to the class from the List of programmes page.
Programme was shared to a class with an existing programme
- Check in the Marks book for each instance of the class to see if there are results in the Marks book
- Check to see if either of the programmes is shared. If one programme is shared, this is likely the one you need to keep. This may require you to re-enter results if the results are in the other programme (results cannot be exported from one programme to another).
Avoiding the loss of visibility of results in the Marks book
Each Programme has it's own Marks book, this means any results entered into the Marks book for one Programme, will not show in the Marks book for the other Programme. The only way to transfer them, is to re-enter marks into the other Programme. Please don't unattach Programmes (Marks books) with marks in them. Report the issue to the SEQTA Service desk for assistance.
Lessons and their resources also belong to the Programme. For this reason, it's best to check that the Programme you plan to keep has the lessons you need. If for some reason you do need to unattach the Programme with the lessons, then the lessons can be imported into the Programme you want to keep.
Before proceeding, check the Class bridge to ensure the class is not bridged to last years class (unless the class started mid December). See the article Removing a bridge safely if it is bridged. It's fine if it's bridged between Semester 1 and Semester 2. The exception is semester-long classes should not be bridged.
